Export Documentation FAQ

The core export document set consists of: (1) Commercial Invoice with 8-digit HS Codes and Incoterms, (2) Itemized Packing List, (3) Clean On-Board Multimodal Bill of Lading (B/L), (4) Certificate of Origin (Preferential or Non-Preferential), (5) Phytosanitary Certificate issued by Plant Quarantine Authorities, (6) Fumigation Certificate (ISPM-15), (7) Central FSSAI Health Certificate, and (8) Customs Shipping Bill filed electronically through ICEGATE.

Our trade finance compliance desk conducts a strict 48-point pre-presentation review under the International Chamber of Commerce (ICC) UCP 600 rules. We verify exact spelling, commodity descriptions, latest shipment dates, port notations, insurance policy clauses, and consignment addresses across all documents before presenting them to the negotiating bank, completely eliminating discrepancy fees or payment delays.

A Non-Preferential COO certifies the origin of goods without granting tariff concessions and is issued by recognized Chambers of Commerce. A Preferential COO is issued under specific Free Trade Agreements (FTAs) or Comprehensive Economic Partnership Agreements (e.g., India-UAE CEPA, SAFTA, ASEAN-India, or India-Australia ECTA) and enables the foreign buyer to clear goods with zero or significantly reduced import customs tariffs at destination.

Prior to vessel loading, official Plant Quarantine inspectors draw representative cargo samples to test for regulated pests, mold, and weed seeds. Simultaneously, government-licensed pest control agencies execute container fumigation using approved Aluminum Phosphide (AlP) or Methyl Bromide (MBr) dosage under strict temperature exposure periods. Upon successful test clearance, the official Phytosanitary and Fumigation certificates are issued through the national plant health portal.

Once the ocean carrier issues the final Clean On-Board Bill of Lading (typically within 24 to 48 hours of vessel sailing), all certificates are countersigned, assembled into the final negotiable dossier, and dispatched via express air courier (DHL / FedEx). The international tracking number and digitized high-resolution scans are instantly emailed to the buyer and negotiating bank to ensure advance customs filing well ahead of vessel arrival.
